The NPR Club collects your personal information directly from the form that you complete when you first join the club. We use your information purely for the purpose of running the club and to provide you with the necessary information which will enable you to choose whether or not you wish to be involved in a particular ride, event or activity. We store your name, postal address and contact phone number(s) along with your bike details and your pillion member name and email address. Your details are retained by the club for as long as you are a member, and will be deleted when you inform us that you no longer wish to be a member, or when your membership has not been renewed.
We maintain an up-to-date record of your next membership renewal date, your membership status, and an indication of which (if any) renewal and reminder emails have been sent out in the last few weeks. If at the end of your membership period there has been no response to the renewal and reminder emails, your membership will expire and your records will be permanently deleted.
We also use the information that you provide to enable us: to keep an up to date list of our current membership; to keep you informed; to manage the club membership as a whole; to maintain accurate accounting records; to provide accurate numbers to the British Motorcycle Federation (BMF) with whom we are affiliated; to occasionally produce an anonymous small-scale map of current membership based on postcode area (eg BD20).
We use your email address for two reasons:
- To manage your club membership. We will use your details to contact you about anything to do directly with your membership ie to be able to provide the service that we described when joining. This will include sending out membership cards and welcome packs for new members and sending out annual renewal and reminder notices for existing members. We will also confirm payments / membership renewals by email. There will be other circumstances where contact needs to be made – for example, reimbursement of expenses incurred (say) at a club event like BikeWise.
- To keep you informed. The club broadcaster maintains a separate up-to-date mailing list of members and will circulate all members on the list with relevant items of news, forthcoming events, rides and other information relating to club activities. Periodically, the club may produce a magazine and the mailing list is used to circulate members for articles or to alert them that the next issue is available for download.
Members join the club for many different reasons and you may not wish to receive information about rides, events and other club activities. We are no longer allowed to assume that you wish to receive such information, so you have to let us know. You can do this when you join the club, or by completing the consent form on the club’s website.
The ‘lawful basis’ by which we are allowed to process your personal information is that you have provided us with your consent. Your consent will last for as long as you are a member of the club. However, if you change your mind about the consent that you have given, just let us know. Use the e-mail information on the ‘Contact Us’ page to let us know.
It is sometimes necessary to share email addresses between certain club members. For example, arrangements for a ride out may have to be changed at the last minute due to (say) a road closure or an unexpected overnight dump of snow. The ride leader for the day will need to be able to get in touch with as many members as possible in a short space of time.
We will never pass on your information to anyone outside the club, and we do not obtain any information about you from any other source..
The club uses PayPal for membership payments as well as providing alternatives for cheque, cash and standing order. We do not receive any account or card details from PayPal and nothing relating to you bank account is asked for or stored by the club.
Your personal data will be stored for as long as you are a member of the club. When you leave the club, your data will be permanently deleted. You have the right to view or have your data corrected or deleted as appropriate. However the club relies on being able to maintain an accurate list of its membership, so if your entire data is deleted (as it would be if you withdrew your consent for us to store and process it), then your membership would end.
